Add Reservation Confirmation Emails to Google Calendar

n8n reads reservation emails and PDFs labeled in Gmail. It adds events to a separate calendar, and if any information is missing, it sends a request for confirmation.

How it works

  1. The process starts when the user labels a reservation email in Gmail with the 'Events' label.
  2. It extracts and combines the date, time, location, and reservation number from the email body and PDF attachment.
  3. It creates an event in a separate Google Calendar, including a link to the original email. If any items are missing, it sends a request for confirmation.

Results

This workflow was created for users who receive many travel and reservation confirmation emails.

Notes

Labeling the email is done manually. Handling cases where a single email contains multiple events was noted as a remaining task.

Example prompt · n8n

Implement an n8n workflow that reads reservation confirmation emails and PDFs, and adds events to a separate Google Calendar.

Inputs: Gmail connection [account], target label [such as Events], calendar to save to [ID], default time zone [time zone], sample email [data]. Set the trigger so that only emails manually labeled by a person are processed.

Extract the date, start/end time, location, reservation number, and provider name from the email body and PDF. If different values are found, record the basis for comparison and flag items that need confirmation. Include the original email link and necessary reservation details in the event.

If the date/time is missing or the email is not a reservation confirmation, do not force event creation—send it to a review label instead. If there are multiple reservations in one email, do not automatically merge them. Store identifiers for processed emails and created events to prevent duplicates.

Deliverables: Workflow JSON, connection settings, and review flow. Test with flight, hotel, and restaurant reservations, different time zones, PDF and body conflicts, missing information, and duplicate executions. Compare the generated events with the original materials.
