Prompt for Organizing Wedding Vendor Contacts and Budget into a Schedule

The author reports requesting Grok Bot to connect each vendor's email and Notion, so that they can check pending replies, costs, and deadlines all in one place.

How it works

  1. The author provides the wedding date, current list of vendors, and budget, then connects Gmail and Notion.
  2. They request Grok Bot to find schedules and amounts in each vendor conversation, update the overall progress chart, and summarize pending decisions and upcoming deadlines.

Results

The author reports that the goal is to create a budget and schedule table, along with draft follow-up messages for each vendor to review. This is the stated aim of the shared prompt; there is no report of actual execution or outcomes.

Notes

This is a shared prompt introduced as @ericzakariasson's idea on awesome-grok-bot. The actual availability of the connected services and execution results must be checked separately.

Example prompt · Grok Bot

Goal: Organize wedding vendor contacts and budget into a single schedule.

Inputs/Environment: [Wedding date and event list], [Vendor emails], [Budget], [Notion workspace].

Reference: https://github.com/Anil-matcha/awesome-grok-bot#wedding-planner

Set up Grok Bot to organize wedding planning. Create a table linked to the original emails showing the latest agreements and quotes per vendor, deposits and balances, and pending reply status. Organize the event timetable and total costs in Notion, and configure it to find and update existing entries. Show me draft messages to send to vendors who have not replied and a list of decisions to make this week. Only contact vendors or change reservations after my approval.

Do not guess account connection methods or results not in the original source; first, list the required setup and execution steps. Start from a working copy of the existing data to preserve it, and mark any items you cannot access as needing confirmation.

Verification: Distinguish between quotes and confirmed amounts, and check for missing taxes or extra fees. Test that revised quotes from the same vendor are not double-counted, and that time and date conflicts are flagged.

With the results, organize the inputs used, execution log, and confirmed outcomes. Clearly separate incomplete or unexecuted parts from completed tasks.
