An Agent That Reconciles Daily Expenses and Sends a Report

Every early morning, Grok Bot reconciles cards, accounts, and invoices in ECOUNT and emails an expense report to the accounting employee at 7 a.m.

How it works

  1. The company's Grok Bot is connected to ECOUNT and synchronizes card, bank-account, and invoice records every day at 5 a.m.
  2. At 6 a.m., it works through other bots connected to Coupang, Naver, and Google Sheets to determine expense accounts for the previous day and create a report.
  3. At 7 a.m., it emails the accounting employee from the Grok Bot account; when the employee arrives, they scan receipts and submit the electronic approval request during the morning.

Results

The creator said expense approvals that took an average of 1.5 business days and as long as three business days with paper approval through the first half of the year now finish the same day. A cash-flow forecast through the next payment date is also updated daily using past records.

Notes

They said Grok Bot has not yet been assigned VAT or corporate income tax filings. The post does not say who reviews account classifications.

Example prompt · Grok Bot

Help organize our company's expenses from the previous day every morning and send a report to the person responsible.

Inputs: accounting software [for example, ECOUNT], records to check [cards, bank accounts, tax invoices], chart-of-accounts rules [our company's list], supporting data [for example, online-store orders and Google Sheets], report recipient [email], and send time [for example, 7 a.m.]. First, verify whether the accounting software has an API or works only through browser login, and determine where credentials will be stored securely.

Process: 1) Early in the morning, reconcile the previous day's card, account, and invoice records against the accounting software. 2) Match them with order records and other materials, propose an account for each item, and flag low-confidence items separately. 3) Create an expense report and email it to the responsible person at the scheduled time. 4) Do not finalize entries in the accounting software or submit approvals; leave those actions to a person. 5) If desired, separately attach a cash-flow forecast through the next payment date using past records.

Deliverables: a morning report and a list of items that need review each day. First, create a report for one day from last week so I can review the account classifications myself, then move to daily execution.
